This policy describes how New Phase Solutions (NPS) handles personal information collected through this website. NPS is responsible for the information you provide in a website enquiry. We handle it in accordance with applicable South African law, including the Protection of Personal Information Act (POPIA).
Information you provide
The Request a Quote form collects your name, business email address, selected service, optional requirements and your agreement to be contacted. An enquiry record also includes its submission time. If you contact us by email, telephone or WhatsApp, you choose what additional information to share. Please do not send passwords, payment card details or sensitive account information.
Why we use your information
We use enquiry information to respond to you, clarify requirements and discuss relevant services or a proposal. Submitting an enquiry does not subscribe you to a marketing list. You may withdraw your agreement to further enquiry contact by emailing us; this does not affect processing already carried out lawfully.
Storage, access and service providers
Website enquiries are stored in our hosted enquiry system for NPS to review. They are not publicly readable through the website. Hosting, communications and AI providers may process information to operate these services. Such processing may take place outside South Africa and is subject to applicable data-protection requirements. We do not sell enquiry details. Information may also be disclosed where required by law.
AI service suggestions
The optional IT needs assistant sends the description you enter to an external AI processing service to suggest NPS services and prepare a summary. Its suggestions are not saved as an enquiry by NPS unless you choose to use the summary and submit the quote form. External processing is still involved, so avoid personal or sensitive information in your description. AI output may be inaccurate and is subject to NPS review.
Technical information and external links
Hosting and website services may process technical information such as an IP address, browser information and requested pages for operation, security and usage measurement. This website contains links to WhatsApp, maps and New Phase Engage. Those services have their own privacy terms; this policy covers the NPS website, not independently operated linked services.
Retention and security
We retain information only for as long as needed to deal with the enquiry, maintain relevant business records or meet legal requirements. The appropriate period depends on the purpose and any resulting business relationship. We use reasonable safeguards, but no internet transmission or storage system can be guaranteed completely secure.
Your privacy rights
